    Position Title: Accreditation Specialist Benefits: Eligible for full-time employee benefits Work Schedule: • Monday–Thursday: 8:00 a.m. – 4:00 p.m. • Friday: 8:00 a.m. – 3:30 p.m. Position Summary The Accreditation Specialist is responsible for providing administrative and operational support to the Vice President of Accreditation in the processing, qualification, renewal, and retention of BBB Accredited Businesses. This position plays an important role in ensuring that new accreditation applications are processed accurately and efficiently, company information and BBB records remain current and accurate, and existing Accredited Businesses receive timely and professional assistance throughout the renewal process. The ideal candidate will be highly organized, detail-oriented, professional, and comfortable communicating with businesses by telephone, email, and in person. The Accreditation Specialist must be able to manage multiple priorities while maintaining a high level of accuracy and customer service. Essential Duties and Responsibilities Accreditation Applications • Assist with the processing of new BBB Accreditation applications. • Review applications for completeness and accuracy. • Conduct preliminary research and gather information necessary to qualify prospective Accredited Businesses. • Assist the Vice President of Accreditation in determining whether businesses meet BBB Accreditation standards and requirements. • Follow up with applicants to obtain missing information or documentation. • Enter and maintain accurate business information in BBB systems and databases. • Communicate with prospective businesses regarding the accreditation process and requirements. • Assist with the preparation and processing of accreditation approvals, denials, and other correspondence as directed. Data Quality and Record Maintenance • Maintain accurate and up-to-date business records within BBB databases and systems. • Research and correct inaccurate, incomplete, or outdated business information. • Verify business names, addresses, telephone numbers, websites, ownership information, and other relevant company data. • Identify duplicate or inconsistent records and assist in resolving data issues. • Perform periodic data-quality reviews to ensure the integrity of BBB records. Accreditation Renewals and Retention • Assist with the annual renewal process for existing BBB Accredited Businesses. • Contact Accredited Businesses regarding upcoming renewals and outstanding information. • Assist in processing renewal paperwork and updating business records. • Help identify businesses that may be at risk of non-renewal and bring concerns to the attention of the Vice President of Accreditation. • Provide professional and responsive customer service to existing Accredited Businesses. • Assist with retention efforts and other activities designed to strengthen relationships with BBB Accredited Businesses. Administrative Support • Provide administrative assistance to the Vice President of Accreditation as needed. • Prepare correspondence, reports, spreadsheets, lists, and other materials. • Assist with tracking applications, renewals, follow-ups, and other accreditation-related activities. • Maintain confidentiality of business and organizational information. • Answer telephone calls and respond to emails in a professional and timely manner. • Assist with scheduling meetings, appointments, and other accreditation-related activities. • Perform other duties and responsibilities as assigned by the Vice President of Accreditation. Special Events and Community Activities The Accreditation Specialist will assist with BBB events and activities throughout the year, including but not limited to: • Annual BBB Shred Events and related community events. • Annual BBB Golf Outing. • Trade shows and business expos. • BBB promotional and educational events. • Community outreach activities. • Other BBB events, programs, and initiatives as assigned. Participation may occasionally require adjusted hours or work outside the employee's normal schedule, with appropriate notice. Qualifications Required: • High school diploma or equivalent. • Strong organizational and time-management skills. • Excellent attention to detail and accuracy. • Strong written and verbal communication skills. • Professional telephone and email communication skills. • Ability to work independently and as part of a team. • Ability to maintain confidential information. • Proficiency with Microsoft Office, including Word, Excel, and Outlook. • Ability to learn and effectively use BBB databases and other software systems. • Ability to manage multiple tasks and priorities in a deadline-driven environment. Assists the requiring activities by serving as a member of acquisition planning teams. In this role, incumbent aids requiring activities in performing market research, reviewing specifications and drawings, reviewing statements of work, other required documents, and approving acquisition milestone plans. Responsible for selecting the appropriate method of procurement (i.e. - simplified acquisition procedures, sealed-bidding, or negotiations). Responsible for advertising all applicable requirements and preparing the solicitation document using agency contract writing systems for issuance, ensuring regulatory and legal sufficiency, and promoting maximum competition. When authorized, incumbent serves as the Source Selection Authority (SSA) and establishes Technical Evaluation Boards (TEB) to determine acceptability and ranking of technical proposals. Identifies appropriate negotiation team members, formulates pre-negotiation objectives, and facilitates the negotiation as the Senior Contract Specialist and chief negotiator. Serves as contract administrator on awarded contracts. Conducts post-award conferences with contractor and government personnel to provide information and to clarify standard and special contractual provisions of the contract.
